Emails and reminders
The messages your desk used to send by hand
Confirmations, receipts and reminders matter — and they’re easy to forget on a busy day. GIMS sends them for you, in your institute’s name and with your logo.
How it works
- 01
At admission
An admission confirmation with the filled admission form attached as a PDF.
- 02
At every payment
A PDF receipt with the receipt number, amount, payment mode and due date.
- 03
Before and after the due date
Fee reminders on a fixed schedule, and only while a balance is actually due.
- 04
On the day of a missed class
An “absent today” email to each student marked absent.
What you get
Your institute’s name
Emails carry your institute’s name, logo and contact details, not a software brand.
A fair reminder schedule
1–3 days before, on the due date, then 3, 10 and 30 days late — then monthly, up to 180 days. Never twice for the same stage.
Login details
When you turn on a student’s access, they’re emailed their Student ID and password.
WhatsApp reminders
Open WhatsApp with a polite fee reminder already written, from the pending fees list.
Account security emails
One-time codes for password resets and email verification, and a notice when a password changes.
You stay in control
Fee reminders and absence emails can each be switched off in Settings.
Who receives these emails?
The student, at the email address on their profile. Students without an email address are simply skipped.
Is WhatsApp sent automatically?
No. WhatsApp opens with the message ready, and you press send yourself.
Will a student get the same reminder twice?
No. Each reminder stage is sent at most once for each due date.
