Enquiries and admissions

From the first enquiry to a confirmed admission

Most admissions are won or lost in the follow-up. GIMS keeps each enquiry, every conversation about it, and the final admission together, so nothing depends on someone remembering to call back.

How it works

  1. 01

    Log the enquiry

Name, mobile number, where they heard about you, and the course they asked about. It takes seconds at the front desk.

  2. 02

    Follow up on record

Note each call, WhatsApp message, visit or email with its outcome and the next follow-up date. Move the enquiry from new to contacted, interested, trial — or lost.

  3. 03

    Convert in one step

An interested family becomes a student with their batch and fee plan in one go. Collect the first payment at the same time if they paid.

  4. 04

    Confirm automatically

The student is emailed an admission confirmation with their admission form as a PDF, in your institute’s name.

What you get

A clear pipeline

See enquiries by status — new, contacted, interested, follow-up, trial, converted, not interested, lost — and what needs a call today.

Follow-up history

Every conversation is kept with the enquiry, so whoever picks up the next call knows exactly what was said.

A complete admission form

Personal details, parent or guardian, address, school or college, goals and a photo — on one form, with checks for phone numbers, email and date of birth.

Nothing half-done

A student, their enrollment and their fee plan are saved together. If a batch is full, nothing is saved and you’re told why.

Admission form PDF

Download or re-email the filled admission form any time from the student’s profile.

Teacher admissions, your way

Teachers can admit into their own batches — directly, or as a request you approve first. You choose for each teacher.

Which enquiry sources can we track?

Walk-in, phone, WhatsApp, Instagram, Facebook, website, Google, referral, and other.

Can a student be admitted without a batch?

No. An admission always includes at least one course and batch, with its fee plan, so no student is left without a class or a fee record.

Can teachers admit students?

Yes, into the batches they teach. The admin can require approval for any teacher; their admissions then wait as requests, and nothing is created until the admin approves.
